Customer Portal saves ERP and Varekamp numerous communication moments per day

A few weeks ago, Europe Retail Packing (ERP) and Varekamp started using the Customer Portal from GreenCommerce. The Customer Portal displays important logistical information based on the current order status in GreenCommerce. ERP’s customers can log into their personalized environment via a unique link, tailored to their specific needs. This not only provides ERP’s customers with transparent information but also saves ERP numerous contact moments per day regarding status updates, logistical planning, and stock overviews.

Luco Overvoorde, Manager Supply Chain & IT at ERP, is positive about the implementation: “With the Customer Portal, we can offer our customers a clear and organized flow of information. The data is updated automatically, and customers can log in at any time to view the status of their orders.”

In addition to inbound and outbound logistics information, the portal also includes a stock overview. Here, ERP and Varekamp can share details about expected stock, physical inventory, and available stock. Luco explains: “In the past, we would get daily requests to create stock reports, with each customer having their own preferences. Now, we use one standard through the Customer Portal. This makes implementing changes much less time-consuming and allows us to easily apply a bit of customization per customer. On top of that, customers can still export the stock overview to Excel for their own analyses.”

ERP and Varekamp’s trusted environment
The Customer Portal is fully branded in ERP and Varekamp’s corporate identity and offered directly to their customers. “In addition to our company colors and logo, ERP is also included in the URL. This makes it immediately clear to customers that they are logged into our environment.” Logging in is done via a ‘magic link’—a passwordless authentication method in which a unique, time-limited link is sent via email. Besides the ease of use, this method is also significantly more secure. “Nowadays, you need a different password for everything, and they’re easily forgotten. The magic link solution is great because customers only need to click the link in the email to log in. The browser also remembers this, so you don’t have to log in every time.”

ERP has full control over which information and documents are shared with each customer, maintaining full oversight. “Once customers are logged in, they can easily find all relevant information related to their orders in one central location. In addition to the order status, we can also make the sales order confirmation and transport document available in the portal. That saves a lot of searching and storing, especially for our customers.”

A win-win situation
Since ERP was the first company to start working with the Customer Portal, there was a bit of a learning curve at the beginning. “We quickly discovered that we had to manually release each order individually. Together with jem-id, we looked for a solution that would drastically reduce the number of actions required.” With the introduction of the Customer Portal, communication between customers and account managers has become much more efficient. “Sometimes we still have to remind customers to check the portal, but that’s improving quickly. Customers now have access to their documents at any time.”

ERP Varekamp goes live
The new Varekamp location at Honderdland recently went live with GreenCommerce and started using the Customer Portal immediately. Luco concludes: “Especially for customers who don’t have their own software system, the Customer Portal is a crucial source of information. Several times a day, they check the status of their orders via the portal, without any need for direct communication. That saves us multiple contact moments each day and keeps the workflow moving efficiently.”
